Description
Purpose Of The Role

To assist the 0-18s team to deliver the outcomes of the Liverpool Diocese 0-18+ Strategy and offer technical support to the 0-18s Strategy Lead. We are looking for a 0-18s Project Administrator who has a heart for Children’s and Youth Ministry and wants to equip and enable Youth and Children’s Hubs to flourish. This person will provide technical support for the team, and facilitate opportunities and events for Hub Teams, Children and Young People Workers and Volunteers, Clergy and Lay leaders to grow and develop discipleship and mission within Hubs and across the Diocese.

This person will be well organised, personable, and have proficient IT skills. They will be a self-starter and will contribute to a small team of highly skilled, agile 0-18s practitioners under the oversight of the 0-18s Strategy Lead. They will be a collaborative colleague who can support Children’s and Youth work across the Diocese. This is an office-based role, but there will be the need for some flexible working practice including some evenings and weekends plus travelling.

Main Responsibilities

As part of the team your experiences and opinions will be valued, and you will be integral to successful programme delivery. Some tasks included in your role are:

Project meetings and events

  • Working with the team to facilitate the 0-18s strategy in the Diocese and through the Hubs.
  • Responsibility for setting up new systems for capturing and gathering data of attendance in Youth Hubs, with monthly reporting on the data with interpretation of data trends and recommendations for actions.
  • Keep good records, manage events and diaries, prepare papers for meetings and keep notes of relevant meetings and events
  • Manage attendees with scheduling and agenda distribution
  • When required organise refreshments for events and meetings
  • Take accurate minutes in real time and distribute in a timely manner
  • Responsibility for setting up new people systems for discerning, and tracking formation and progress of Youth Ministry Scholars, with responsibility for managing relationships between the theological college, diocesan team and Youth Hub placements, reporting to the team and making recommendations for team actions.
  • To support the Hub Leads in their best practice, delivery and reporting
  • Manage online event booking such as Eventbrite


Project Administration

  • Inputting orders and producing reports from Xledger
  • Collecting measurement data and preparing measurement data reports
  • Liaising with Finance, HR and other departments
  • Data entry
  • Organise and maintain the digital filing system
  • Assisting team members with onboarding and facilitating their work
  • Staying connected with the team, looking out for them
  • Preparing documents and reports, proof reading/editing documents written by others
  • Manage the programme inbox
  • Process project team expenses according to expenses policy


Other Responsibilities Will Include

  • Providing administrative support and assisting the smooth running of the MES and Future Youth Scheme, Liaising with the Vocations Team
  • Working collaboratively with colleagues in the Projects team and across St James’ House to share your expertise and support others
