The Assistant Property Manager plays a crucial role in supporting the management of residential and commercial properties. This position involves assisting in the day-to-day operations, ensuring tenant satisfaction, and maintaining property standards. The ideal candidate will contribute to the overall success of the property management team, enhancing the living and working environment for all tenants.

Customer Service: Maintain the company's commitment to exceptional customer service, stepping in as a primary point of contact when the Property Manager is off-site.
The Assistant Property Manager plays a crucial role in supporting the management of residential and commercial properties. This position involves assisting in the day-to-day operations, ensuring tenant satisfaction, and maintaining property standards. The ideal candidate will contribute to the overall success of the property management team, enhancing the living and working environment for all tenants.
Responsibilities:
Customer Service: Maintain the company's commitment to exceptional customer service, stepping in as a primary point of contact when the Property Manager is off-site.
Community & Engagement: Collaborate with the Resident Experience Associate(s) to plan and execute resident engagement initiatives, ensuring these activities actively contribute to a positive community atmosphere and resident satisfaction.
Retention Focused Resolution: Handle escalated resident complaints and complex disputes, applying a retention-first mindset to ensure prompt, effective resolution and maintain positive resident relationships.
Resident Renewal Strategy
: Lead the unit renewal process, working proactively with the Property Manager, Resident Experience Associates, and Leasing team to execute renewal campaigns, negotiate lease terms, and ensure high tenant retention targets are met
Arrears Management & Collection: Take ownership of the arrears process, actively monitoring the rent ledger, issuing formal communication and notices, and enforcing delinquency policies to maintain optimal cash flow and minimise bad debt.
Mentorship: Provide day-to-day guidance and supervision to the Resident Experience Associate(s), mentoring them in best-practice customer service, leasing support, and administrative processes.
Team Support: Support the resident, leasing, and maintenance workflows, monitoring the Resident Experience Associate(s) and supporting the Maintenance team to ensure timely and effective resident issue resolution.
Inspections & Quality Control: Conduct regular property and unit inspections (e.g., daily property walks, move-out inspections) to proactively identify property needs and ensure high standards of presentation and quality necessary for residents.
Arrears Management & Collection: Take ownership of the arrears process, actively monitoring the rent ledger, issuing formal communication and notices, and enforcing delinquency policies to maintain optimal cash flow and minimise bad debt.

Contractor & H&S Support: Monitor contractor documentation and assist the Property Manager and Maintenance Manager in maintaining property compliance files (e.g., Gas, EICR, Fire Risk Assessments) and ensuring adherence to Health & Safety (H&S) regulations.
Financial Reporting & Control: Assist the Property Manager in preparing property performance reports and monthly financial summaries, contributing to expense control, invoice review/coding, and accurate budget reporting.
- Demonstrable experience in property management, residential leasing, or a facilities-focused customer service role (essential)
- Strong track record of resolving complex customer or resident issues effectively (essential).
- Proven experience in coordinating maintenance works and managing external vendors/contractors (desired).
- Professional certification such as ARLA, The Property Institute (TPI), or IRPM Membership (desired or working towards).
- Degree in business administration, real estate, or a related field (desired)
