JOB SUMMARY

Coordinates all aspects of the Firm's electronic billing and Continuous Transaction Control (CTC) processes, including set up, transmission, and problem resolution for EMEA region. Works closely with supervisor and team members to meet department service guidelines.

ESSENTIAL FUNCTIONS

Prepares electronic bills in LEDES (Legal Electronic Data exchange Standard) format using Aderant Expert.
Coordinates submission and track history of the Firm’s CTC obligations, including both e-invoices and credit notes.
Submits timekeepers and rates for approval as needed.
Interacts with billing personnel to ensure e-bills are prepared in accordance with Outside Counsel Guidelines.
Transmits electronic bills to clients via third-party web sites or via other means as requested by clients.
Monitors status of invoices submitted, identifies issues, and works with billing and collection personnel to resolve discrepancies and rejections.
Verifies transmission of e-bills and maintains related documentation, as well as verifies transmission of e-invoices via global CTC procedures.

Resolves issues arising from transmitted bills (rejections, deductions, appeals), coordinating with the Client Accounting team , partners and clients as necessary.

Coordinates and submits accruals and budgets to clients.

Responds to e-mail and telephone inquiries from clients, electronic billing vendors, partners, and other Client Accounting staff regarding various aspects of electronic billing using effective communication skills, both oral and written.

Communicates situations as they evolve that may require supervisor follow-up, such as e-bill and e-invoicing submission issues, difficulty filling requests, or workload situations that may jeopardize meeting department service guidelines and/or client guidelines.

ESSENTIAL KNOWLEDGE, SKILLS, ABILITIES AND OTHER JOB-RELATED COMPETENCIES

Knowledge of relevant Firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems
Familiarity with ADERANT Expert and/or ADERANT BillBlast or similar legal-industry time and billing suites
Familiarity with global CTC mandates and required procedures.
Familiarity with various electronic billing vendor web sites
Familiarity with legal industry-standard LEDES 1998B, LEDES 1998BI, and LEDES XML E-billing versions 2/2.1 electronic billing formats, including ability to manually edit as needed.
Working knowledge of the SRA Accounts Rules, including client money movements.
Strong knowledge of EMEA Vat rules.
Basic understanding of accounting principles and multi currency accounting.
Technical knowledge or desire and ability to learn new technical skills

EDUCATION AND EXPERIENCE

Bachelor's degree preferred
Minimum of three years related experience, two of which should be e-billing, in a professional services environment
