Job Overview
To provide effective management to the Portering Services department. The post holder is responsible for the performance of the porter department through effective management of the porter shift managers and services ensuring the service is always delivered to the highest quality and most economical cost. The post holder will ensure that all operations are conducted to a high standard of customer care and in line with policy and practices. The post holder will identify and highlight opportunities for the improvement of the service
Main duties of the job
Manage and motivate staff to maintain high service standards, ensuring shift managers complete regular checks and meet compliance requirements. Oversee service delivery within budget, adjusting provision as needed with the porter services manager. Recruit, induct, and train staff, ensuring appraisals, mandatory training, and development plans are maintained. Lead positively through change, creating local policies aligne
d with Trust standards.
Plan and manage complex rotas based on service demand, ensuring adequate cover and training time. Act as a visible leader and role model. Conduct interviews on sickness, bereavement, discipline, and grievances with professionalism and tact. Ensure Trust policies are followed to maintain governance and service quality.
Manage Datix incidents, departmental risk assessments, and attend meetings or presentations for service improvement. Maintain effective communication with internal teams and contracted organisations on issues such as pay, rotas, and hours. Liaise with wards to ensure portering services meet agreed levels.
Monitor compliance systems, quality processes, KPIs, and in-house audits to support patient experience and clinical services. Produce timely reports, manage performance, and provide assurance on quality and safety. Develop reporting tools, analyse data, and support Facilities teams in meeting targets. Oversee the porter budget, report discrepancies, and submit monthly recharge templates.

Detailed Job Description And Main Responsibilities
Manage and motivate staff to ensure high standards of service are set and always maintained. To ensure shift managers are completing regular service checks and compliance within the department is monitored and met.
Ensure that the service is delivered within the agreed budgetary framework assuming responsibility for all expenditure. The post-holder will regularly adjust service provision making changes to existing arrangements in conjunction with the porter services manager.
Ensure that all staff employed within the department are effectively recruited and inducted into the organisation and thereafter are properly trained to deal with all aspects of their role. He/she will ensure that their ongoing appraisal, mandatory training and personal development
plans are maintained in accordance with Trust policy.
Act in a positive manner due to change and formulate a flexible solution as to a wide range of problems and issues in a fast-moving environment. Working with the overall policies of the Trust he/she will formulate local policies for use within the department covering such areas as health and safety, staff discipline and management information.
Assess the demand for services and will initiate and plan complex rotas to schedule directly employed staff to meet this demand. Arrangements for staff training planned interruptions for service and short-term operational planning will be catered for within these plans.

Ensure compliance information systems utilised to performance manage Porter Services are up to date by completing systematic quality checks and audits to ensure accuracy within the systems.
To ensure that all in-house monitoring systems are compliant to standards to maximise the quality of the patient experience and support clinical interventions ned in line with departmental and Trust policies.
To provide regular updates and produce reports required by the porter services manager ensuring all reports are undertaken and delivered in a timely and appropriate manner.
Conduct compliance, health and safety and performance activities. Provide assurance that the required level of quality and compliance is being provided. Communication to meet this requirement may be verbal or written.
To develop and manage a suite of reporting tools to provide Facilities Management Teams with the relevant intelligent information to operate departments within agreed performance and compliance targets.
Demonstrate IT skills and produce and manipulate data to create detailed spreadsheet information.
Monitor performance through the development and use of Key Performance Indicators (KPIs).
Present performance reports to the porter services manager on delivery with action plans.
