Job Title: Event Operations Manager - 3 month contract

The Team

Chesamel has a large team of marketing experts delivering on client projects across the globe, ranging from fully integrated and embedded consultancy to ad-hoc on demand project delivery. You will be joining a collective focused on delivering excellent client servicing while leading business transformation for our clients.

The Event Operations Manager will provide hands-on operational support to the Sr. Event Operations Lead for the end-to-end delivery of a large-scale, high-profile conference (1000+ attendees).

This role is focused on logistics execution, agency/vendor interlocks, asset coordination, financial tracking and on-site delivery, ensuring a seamless experience for attendees, internal stakeholders and executive teams.


Responsibilities include:


Event Operations and Logistics Support


  • Venue and Capacity:
  • Assist the Sr. Event Operations Lead with the development and constant review of all venue floorplans, ensuring compliance with capacity limits and a smooth attendee flow across all event locations.

(Must have experience leading key areas of a large scale conference or managing a conference end to end)


Ancillary Room Management

  • Manage the setup, furniture, signage, and special provisions (e.g., catering, medical, H&S) for assigned ancillary rooms, including Speaker Lounges, Meeting Rooms, and specialist spaces.


Registration & Access Support

  • Support the oversight of the registration process, assisting with the physical setup of the help desk, queue management, VIP/Speaker check-in protocols, and the successful execution of on-site badge printing.


Equipment & Staging


  • Serve as a key interlock for the ETT (Equipment) Team, assisting with equipment shipment, load-in, on-site setup, and breakdown.


Agency and Vendor Interlock


Vendor Coordination


  • Serve as a key point of contact for external agencies (e.g., Wonder, BW, Film Teams) on assigned workstreams, joining planning calls to track deliverables and schedules.


Creative Asset Coordination

  • Manage specific aspects of the visual assets process, including:
  • Drafting photography briefs and detailed minute-by-minute schedules for live day coverage.
  • Coordinating the briefing and scheduling for the event's Sizzle Reel videography.


Swag and Merchandise


  • Manage the end-to-end ordering and distribution of all event swag, Googler uniforms, and assist with the logistical setup and staffing of the on-site Swag Store (TBC)


Financial and Resource Execution


Budget Support


  • Maintain financial awareness over assigned workstreams, monitoring agency spend and proactively reporting any requests or areas exceeding anticipated budget to the Sr. Event Operations Lead.


Staffing Support


  • Assist in overseeing the Brand Ambassador (BA) program, including reviewing assignments, managing uniform ordering and schedules.


Sustainability Tracking

  • Track and report on compliance for all venue, catering, and swag choices to ensure adherence to sustainability measures, and coordinate post-event donations.


Stakeholder and F&B Coordination


Executive Support Coordination

  • Manage logistics for assigned Executive Offices, meeting rooms, furniture, and catering needs, working directly with EBP (Executive Business Partner) teams to confirm requirements.


Catering Management


  • Support the main F&B Point of Contact (POC) with pre-event logistics and on-site execution, including managing core team requests and assisting with waste reduction efforts.


Communication Support


  • Own key internal communication assets, including the preparation and distribution of weekly team agendas and maintaining updates in internal planning decks.


Essential Qualifications & Skills:

  • 6–8 years’ experience in event operations (agency preferred).
  • Proven delivery of large-scale conferences (1000+ attendees).
  • Experience as a Producer, Event Manager or Project Manager in a complex event environment.
  • Exceptional organisational and execution skills across multiple concurrent workstreams.
  • Strong stakeholder and vendor management capability.
  • High attention to detail across schedules, inventory and physical space delivery.
  • Financial awareness and budget tracking experience.
  • Ability to proactively identify and resolve operational risks.
  • Positive, solutions-focused mindset in a fast-paced, time-sensitive environment.


Desirable Qualifications & Skills:

  • Experience delivering events for tech or enterprise organisations.
  • Corporate client-side exposure in addition to agency background.
  • Experience working with executive support teams.
  • Sustainability tracking for large-scale events.
