Your contribution to our company

  • STRABAG UK is expanding its presence in the UK infrastructure sector, with a strategic focus on growing our operations in Scotland. As part of this exciting phase, we are seeking a highly organised and proactive Executive Assistant to support our Business Unit Directors and play a key role in enabling the next stage of our growth.
  • This is a unique opportunity to work at the centre of a dynamic and ambitious leadership team, helping to drive the development of major infrastructure opportunities in a new and rapidly evolving market. The successful candidate will provide high-level executive support, ensuring the Directors are able to operate effectively while building relationships, pursuing new projects, and establishing STRABAG’s footprint across Scotland.
  • We are looking for someone who thrives in a fast-paced, professional environment, demonstrates exceptional attention to detail, and can confidently manage competing priorities. As a trusted partner to senior leadership, you will contribute directly to the efficiency and effectiveness of the team while supporting the wider growth of STRABAG’s infrastructure business in the UK.


Requirements:

  • Organise and manage the Business Unit Director’s Calendars both Technical and Commercial Manage emails and written correspondence, acting as a liaison between BU Directors and other departments on the project.
  • Draft, format and proofread reports, presentations and other documentation.
  • Assist with project and event coordination, plan company events
  • Co-ordinate the BU Directors daily correspondence and communication.
  • Make all travel and accommodation arrangements, when necessary, including all elements of international travel.
  • Operate as the key contact between the BU Directors, other directors, senior managers and senior staff.
  • Manage internal/external communications and arrangements on behalf of the BU Directors
  • Arrange external and internal meetings, as required.
  • Organise and collate paperwork for board and management meetings, including agendas, note-taking, and following up on action points.
  • Seek ways of streamlining processes and making efficiencies.
  • Prepare presentations using PowerPoint and other media.
  • Provide routine and ad hoc management information and reports.
  • Prepare and review documents for grammar, spelling, punctuation, formatting and/or technical accuracy.
  • Create and maintain paper and computer-based filing systems.
  • Conduct financial duties, for example, processing invoices.
  • Draft Authority to Recruit (ATR) for BU Directors and obtain relevant signatures
  • Maintain commute cost spreadsheet and update in line with CCFs
  • Submit official documentation through Adobe for BU Managers signatures, including CCFs, home working letters, etc.
  • Always uphold confidentiality and respect sensitivities.
  • Other tasks as assigned by the BU Directors
  • Fully conversant with Microsoft Office packages and competent in IT activities.

  • Skills & Qualifications:

    • Fully conversant with all Microsoft packages, inc. PowerPoint, Word, Outlook and Excel
    • Fully conversant with GDPR regulations
    • A good standard of education, preferably at degree level however as min. to A level standard
    • Able to touch type with RSA Typing Skills Stage III (advanced) qualification with distinction, or equivalent.
    • Discretion and Trustworthiness (confidential information)
  • Extensive successful experience of working in a senior support role within a corporate environment.
  • Excellent IT skills – Word, Excel, PowerPoint, Outlook, etc.
  • Great interpersonal and communication skills
  • Experience of supporting the CEO / Managing Director of a large organisation.
  • Previous experience within the Construction industry is desired but not essential
