Location: Theale

Salary: £30,000 – £35,000

Hours: 8:00am – 5:00pm, Monday – Friday

Start: ASAP

Contract: Full-time, Permanent


About the Role


We are seeking a proactive and highly organised Facilities Coordinator / Buildings Manager to oversee the day-to-day running of two buildings in Theale. This is a key role ensuring the smooth, safe, and efficient operation of our facilities while delivering an exceptional customer experience to all tenants and visitors.

Key Responsibilities


Customer Service & Tenant Support


  • Act as the first point of contact for tenants, visitors, and contractors.
  • Provide exceptional customer service, ensuring a welcoming and professional environment at all times.
  • Coordinate tenant queries, resolve issues promptly, and maintain strong tenant relationships.
  • Manage meeting room bookings, visitor sign-in, and reception cover when required.

  • Building & Facilities Management


    • Oversee the daily running of two buildings, ensuring they remain safe, compliant, and well-maintained.
    • Conduct regular building inspections, identifying and addressing any maintenance needs.
    • Coordinate planned and reactive maintenance with contractors and suppliers.
    • Monitor and manage utilities, building access, security systems, and cleaning services.
    • Ensure the buildings are compliant with company policies, legal standards, and health and safety regulations.


    Health & Safety


    • Assist with on-site Health & Safety management across both buildings.
    • Conduct and update Risk Assessments and Fire Risk Assessments.
    • Support fire drills, emergency procedures, and safety training.
    • Ensure statutory testing, permits, and compliance documentation are maintained and up to date.
  • IOSH qualification desirable (or willingness to work towards).

  • Financial & Administrative Duties


    • Process invoices, purchase orders, and maintain budget trackers.
    • Keep accurate records of maintenance logs, compliance documents, and supplier contracts.
    • Liaise with finance teams regarding facility-related expenditure.
    • Manage stock levels for consumables and proactively reorder supplies.


    General Duties


    • Support office moves, desk management, and space planning.
    • Maintain high standards of cleanliness and presentation throughout the buildings.
    • Oversee waste management, recycling, and sustainability initiatives.
    • Ensure all visitors receive a warm and professional welcome.


    Skills & Experience Required


    • Previous experience in a facilities, buildings, or office management role.
    • Excellent customer service and communication skills, with confidence interacting with tenants and visitors.
    • Strong organisational skills and the ability to manage multiple tasks simultaneously.
  • Knowledge of Health & Safety practices; IOSH desirable.
  • Experience conducting Risk Assessments and Fire Safety Assessments.
  • Ability to work independently and problem-solve effectively.
  • Good IT skills and experience with invoicing or basic finance processes.
  • Positive, proactive, and professional attitude.
