Contract type: Permanent, part-time (3 days per week)

Location: Shoreditch, London- Tues, Weds, Thurs on site

Salary: £18,000 per annum (FTE £30,000)

The Office Manager plays a critical role in ensuring our shared environment runs seamlessly, professionally and in a way that reflects our creative, collaborative culture.

About the role:

The Office Manager is responsible for the smooth, safe and efficient running of our shared office space across four agencies.

This role combines operational excellence with people-first thinking. The successful candidate will create an organised, welcoming and well-managed environment where teams can do their best work.

The role requires strong organisation, discretion, initiative and the ability to balance multiple priorities in a fast-paced creative setting.

Key Responsibilities

Office Operations & Environment

  • First point of contact for all guests and visitors ensuring a professional and welcoming guests.
  • Oversee the day-to-day running of the office across all agencies
  • Ensure the workspace is professional, organised, safe and inspiring
  • Manage reception, meeting rooms and shared spaces
  • Coordinate office layout changes and desk planning
  • Maintain office supplies and equipment
  • Liaise with building management and external contractors

Facilities & Compliance

  • Manage health & safety requirements and documentation
  • Coordinate risk assessments and workplace compliance
  • Ensure policies relating to workplace safety are upheld
  • Oversee maintenance issues and resolution
  • Support fire safety, first aid and emergency planning processes

  • Supplier & Budget Management

    • Manage relationships with key suppliers (cleaning, utilities, IT support etc.)
    • Monitor office budgets and approve invoices where appropriate
    • Identify cost efficiencies without compromising quality
    • Negotiate supplier contracts where required working closely with finance.
    • Manage office-related invoices in a timely manner.
    • Submit CEO expenses when required.

    Skills & Experience

    • Proven previous experience in an Office Manager or Workplace Manager role (preferably within a creative or fast-paced environment)
    • Strong organisational and multitasking ability
    • Excellent communication and stakeholder management skills
    • Confident working independently and making decisions
    • Experience in office refurb (desirable)
    • Budget and supplier management experience
    • Good working knowledge of health & safety requirement
