Purpose of the role
We are seeking a highly organised and proactive individual to support the Plant & Transport function within the Portsmouth PFI contract, PO6 1TA. This role is responsible for ensuring the smooth operation of fleet activities, coordinating maintenance, managing compliance requirements, and supporting the efficient resolution of vehicle and plant defects and breakdowns. The successful candidate will provide essential administrative and operational support to help maintain safe, legal, and cost-effective fleet performance across the contract.
Main Responsibilities
The Plant and Transport Coordinator will coordinate and monitor fleet maintenance activities, including inspections, servicing, LOLER examinations, and MOTs, ensuring all work is completed in line with legal and company standards. They will maintain accurate and up-to-date fleet records, including service documentation, inspection reports, and certification, while liaising with workshops, suppliers, and contractors to arrange and track maintenance work. The role will also involve managing work orders and raising purchase orders for repairs, parts, services, equipment hire, and external contractors. The postholder will verify invoices against purchase orders and ensure costs are allocated accurately to the appropriate cost centres or projects. The successful candidate will support transport compliance by monitoring driver hours through tachograph and telematics systems, ensuring working time regulations and rest requirements are met. They will review reports for infringements, follow up with drivers and supervisors where necessary, and maintain accurate records of driver licences, CPC qualifications, medicals, and other compliance documentation. In addition, the role will oversee the logging and management of vehicle and plant defects, ensuring issues are correctly categorised and escalated where safety risks are identified. The postholder will coordinate repairs, ensure timely resolution of defects, and maintain accurate records. They will also respond promptly to breakdowns, arranging recovery and repairs while keeping relevant stakeholders informed and minimising operational disruption. The role requires close collaboration with site supervisors, workshop teams, drivers, and the Plant & Transport Manager, providing regular updates on fleet availability, maintenance activity, and outstanding issues, while supporting compliance, cost, and utilisation reporting.
Ideal Candidate
The ideal candidate must hold a valid Transport Manager CPC qualification and have experience within transport, fleet administration, or a similar operational environment. A good understanding of fleet maintenance scheduling, defect management, and transport compliance is important, along with the ability to work with telematics systems, tachograph data, and fleet management software.
The successful candidate will be organised, proactive, and methodical, with strong attention to detail and a commitment to safety and compliance. They should be confident communicating with drivers, workshops, and operational teams, able to manage multiple tasks effectively, and remain calm when responding to urgent issues such as breakdowns or operational disruptions. A UK driving licence is essential for the role.
