About The Role
We are looking for friendly, motivated, and compassionate individuals to join our team as Referral and Appointment Co-Ordinators within the Access Booking and Choice service, working 30 hours per week.
This is a dynamic and rewarding role where you will often be the first point of contact for patients, helping them access the care and support they need. Using a patient-centred approach, you will play an important part in coordinating appointments and guiding patients through their care pathways.
This role offers a real opportunity to make a meaningful difference to people’s lives every day while developing valuable skills within a supportive healthcare environment.
We are looking for individuals with excellent communication, interpersonal skills and IT Skills, who are comfortable working in a busy environment and providing a calm, professional experience for patients.
A flexible approach to working is essential as the role operates Monday to Friday 9am - 5pm, Hours may change due to operational needs which may include 5 days out of 7 between 08:00 - 20:00 including evenings and weekends.
If shortlisted, candidates will be invited to complete a short IT skills test

As a Referral and Appointment Co-Ordinator, you will play a vital role in supporting patient access to services. This will include include:
- Acting as a first point of contact for patients, handling incoming calls with professionalism and empathy
- Registering new patients and managing referrals to ensure timely access to services
- Using multiple IT systems and databases to identify the most appropriate service for each patient
- Confidently accessing information while communicating with patients to provide efficient and accurate support
- Interpreting referral and clinical information to connect patients with the correct clinical teams
- Working collaboratively with colleagues to maintain smooth patient pathways
- Ensuring patient confidentiality and data protection is maintained at all times
Main duties
- Develop and maintain the ability to use and simultaneously navigate a range of computer systems including Patient Administration System (PAS), the electronic referral system, patient records, order communication system, digital call handling system, Microsoft packages, particularly Excel.

- Sound educational background 5 GCSE’s Grade C/4 or above
- NVQ 3 in Business Administration or equivalent experience
- ECDL or equivalent
- Experience of working with multiple computer software programmes such as Microsoft Office, Patent Administration System, ICE
- Working within a multidisciplinary team
- Experience of working in a customer service environment
- Excellent communication skills to overcome barriers of understanding
- Working in a demanding and fast paced environment and ability to cope with regular interruptions and changes to work priorities
- Experience of collating data
- Ability to organise self, working to deadlines and ensuring quality standards.
- Experience of scheduling / coordination activities and/or resources.
- Understanding of current challenges facing the NHS locally and nationally
- Knowledge of the GDPR and awareness of confidentiality.
- Awareness of own limitations.
