This post is fixed term/secondment for 8 months to meet the needs of the service. If you are interested in applying for the secondment position, you must obtain permission from your current line manager prior to applying for this post.

An exciting opportunity has arisen within the West E‑Rostering Team for a Band 5 Rostering Administrator to cover a secondment until 31/10/2026. We are looking for a motivated and organised individual with strong technical and communication skills to support the ongoing development, rollout, and optimisation of e‑rostering across the region. This role is based at Ysbyty Gwynedd/Eryri, but will also require occasional travel to other sites within the West area (Gwynedd/Ynys Mon) for user meetings. This role would suit someone who enjoys problem‑solving, supporting users, and improving systems and processes to deliver better outcomes.

Main duties of the job

As part of the E‑Rostering Team, you will play a key role in supporting departments to use the Optima e‑rostering system effectively and efficiently. This role is central to ensuring high‑quality roster data, supporting payroll processes, and enabling safe and effective staffing.

In this role, you will be:

  • Leading e‑roster rollout projects across the West area
  • Acting as a systems administrator, assessing and implementing system updates and new packages
  • Monitoring roster quality and making recommendations for improvement
  • Attending roster quality meetings, providing expert support and advice
  • Delivering training to new and existing users
  • Preparing a range of reports for managers to support workforce planning
  • Preparing and delivering monthly payroll through the e‑rostering system
  • Ensuring high‑quality, accurate system data
  • Acting as the first point of escalation for complex e‑rostering queries and concerns

To be successful in this role, you will need:

  • Experience working with Optima and administering e‑rosters
  • A solid understanding of how e‑rostering supports departmental operations and the key factors that influence roster quality
  • A high level of general IT literacy, including familiarity with databases and packages such as Excel, Word, and PowerPoint
  • Experience delivering training or guiding users through system issues
  • Strong communication and interpersonal skills
  • Experience working across teams, particularly with Temporary Staffing, Payroll, and Systems teams

  • The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.
