Job Description

Key Responsibilities:

Facilities Administration

  • Assist with managing day-to-day facilities operations including maintenance, cleaning, mail, and utilities.
  • Help maintain accurate records of building maintenance, supplier contracts, and statutory compliance.
  • Support the coordination of planned and reactive maintenance tasks.
  • Log and monitor workplace related requests and faults through the internal helpdesk.

Regional Office Support & Communication

  • Act as a key contact point for regional office workplace representatives (champions).
  • Collect and consolidate utility meter readings and energy data from all regional offices on a regular basis.
  • Assist with coordinating small works, such as office decoration, repairs, or relocations, ensuring consistent standards across locations.
  • Encourage regular communication by:
    • Setting up monthly check-ins (via Teams or similar) with regional office contacts.
    • Creating simple shared templates or trackers for logging maintenance issues and energy data.
    • Circulating brief “Workplace Updates” emails or newsletters to share best practices, sustainability tips, and project updates.
    • Supporting the rollout of digital tools (e.g. SharePoint, Teams channels) to streamline workplace communications and reporting.
  • Liaise with Marcomms re content for digital screens.
  • Supplier and Contractor Liaison

    • Obtain quotes for minor works and coordinate approved contractors’ site visits.
    • Support the Workplace Experience Manager in monitoring supplier performance and service delivery.

    Health, Safety & Compliance

    • Assist in maintaining compliance with health and safety standards and reporting procedures.
    • Support office inspections and risk assessments.

    Sustainability and Energy Management

    • Assist with environmental and sustainability initiatives, including waste reduction and energy efficiency projects.
    • Help monitor and report on energy and water usage across all offices.
    • Liaise with Sustainability team to help drive data collection to support Group ESG targets.

    Other Duties

    • Support ad-hoc projects as directed by the Workplace Experience Manager.
    • Provide general administrative support to the wider Customer & Workplace Experience Team.

    Qualifications

    Skills and Attributes:

    • Excellent communication and interpersonal skills.
    • Confident using Microsoft Office (especially Excel, Teams, and SharePoint).
    • Proactive, organised, and eager to learn.
    • A collaborative mindset, able to build relationships across multiple locations.
    • Keen interest in facilities management, sustainability, or property operations.
    • Ability to use AI where helpful and in a secure manner aligned with company policy.

    Qualifications & Experience:

    • GCSEs or A-Levels (or equivalent); further education in Facilities Management, Property, or Business Administration desirable.
    • Some prior experience in an office or administrative environment is beneficial but not essential — full training will be provided.
