DynamicHealth - Musculoskeletal Physiotherapy and Specialist Services are looking for an enthusiastic, self-motivated and dedicated individual to join our service.
We have a part-time vacancy working 18.75 hours per week, Monday - Friday for a Unit Wide Pathway Administrator within our administrative team. The postholder will be required to support localities unit wide.
Dynamic Health provides specialised community service across Cambridgeshire and Peterborough, for people aged 16 years and over living with or experiencing problems from muscles, nerves and joints.
The postholder will need to be able to work effectively to support the team to achieve deadlines. The postholder will require a good knowledge of administration and posses strong organisational skills.
The postholder will be required to be proactive about collaborating with their colleagues across the localities and the Trust to problem solve and overcome issues as they arise. The postholder will be required to work using their own initiative and work on active improvement of patient pathways and wait times within the unit.

To provide an office administrative support service to the MSK Physiotherapy Service and MSK Specialist Service.
Responsible for checking the Personal Demographics Service (PDS) is current or requires updating on SystmOne.
Check if Out of Hours contact tasks (OOH) on SystmOne are active referrals and action if they are or investigate further.
Attend to E-Referral task acknowledgements and appointments received and investigate and action accordingly.
Send out the Communications Annex SMS messages via SystmOne to patients on the physio waiting list during the relevant timeframes to revalidate our waiting list.
Responsible for checking why patients have open referrals with no contact for more than 6 months working from the data provided weekly by the Informatics Team. Liaise with the relevant clinician in the investigation and take the appropriate action.
On a 3 monthly basis obtain details regarding secondary care waiting times and provide to clinical team.
Provide on 3 monthly basis a report to be shared to all of the team re current diagnostic waiting times.
Review Appointments for rebooking within SystmOne and investigate and take appropriate action and liaise with the clinician if the patient hasnt been rebooked.
Chase diagnostics within the guidelines as given by each service Cambridge University Hospital (CUH) & Queen Elizabeth Hospital (QEH) on a weekly basis for all sites.
Ensuring referrals are added to the appropriate waiting lists and appointments are booked into the appropriate services via SystmOne. To be competent in the use of the Electronic Referral Service (eRS) and SystmOne to include the booking of appointments and the attachment and retrieval of appropriate clinical letters. (pulling over 10 each day)Assist with updating of internal documents such as Standard Operating Procedures (SOPS).
Support with system projects within the DynamicHealth as required. To attend and take minutes at meetings if requested to do so.
To undertake any other duties appropriate to the banding as requested by the First Contact Physiotherapist Administrator/Business Support Administrator.
The post holder will be expected to prioritise their own workload independently, seeking support when required.
Provide support when required for any urgent duties during Pathway Administrator colleagues absence.
This post requires the post holder to work collaboratively across our sites as and when required.
Communication
1. Communicate effectively with patients including those with linguistic and cultural barriers both face to face and on the telephone including dealing with complex or sensitive information.
2. Liaise effectively with clinical, professional and administrative personnel including those from other disciplines, General Practitioners and associated staff. Liaising with patients, carers and the general public both directly and indirectly, in a polite and tactful manner, this may include dealing with challenging situations both face to face and on the telephone.
3. To understand the need to escalate issues through to the line manager to ensure problems are managed in line with policy. This includes reporting incidents through the Datix system for investigation from the line manager.
4. To use the relevant service technology appropriately and in line with Trust policies/guidance.
5. To liaise with the Clinical Systems Team for any updates and changes required for the unit.

1. Responsible for taking part in own appraisal, 1:1 reviews and objective setting.
2. Support administrative colleagues with changes and expectations within the Service.
Clinical and Practice Governance
1. Observe and maintain strict confidentiality with regards to any patient/family/staff/records and information in line with the requirements of the Data Protection Act.
2. Any data that is taken/shared as part of a phone call or transported, faxed or transferred electronically must be undertaken with regard to the Trust Information Governance and Information Security policies.
3. The post holder must adhere to the Trust risk assessment and risk management processes
4. The post holder must adhere to infection control policies and procedures
5. Undertake mandatory training and any other training relevant to the role as required by Cambridgeshire Community Services NHS Trust.
6. The post holder must participate in audits of working practices and patient satisfaction as required
7. Provide patients and their families /carers with up-to-date information on standards they should expect from the team
8. The post holder is required to participate in the relevant emergency preparedness process for their team
