Role Summary
We are seeking as Apprenticeship Contracts Officer to join our Directorate of Student and Academic Services (SaAS), supporting the delivery of high-quality services across the University.
In this role, you will take responsibility for managing, monitoring and reviewing contracts for employers, procurement frameworks and subcontract arrangements, as well as verifying and reviewing the compliance and quality of each contract.
Key Responsibilities
Work closely with stakeholders, ensuring robust contract management procedures are in place, work with other stakeholders to ensure compliance.
Manage and maintain the contracts database ensuring integration with Legal Services and other reporting channels.
Provide associated relevant and timely information to colleagues on pending changes or renewals within the timescales of each contract (e.g., renewal dates, renewal costs).
Ensure that all such transactions are undertaken in accordance with the relevant procurement rules.
Make full use of agreed frameworks and contracts to ensure that any invoices for such work are received and processed in a timely fashion and within the correct financial year.
Undertake regular liaison with stakeholders and provide feedback on any issues that arise to the Apprenticeship Compliance Team Leader.
Understand the planned future changes in service requirements to ensure that effective contracts are in place including liaison with Legal services in relation to template development.
Ensure any changes to contracts are administered appropriately and in accordance with regulations referring to Legal Services for specialised advice when necessary.
Ensure plans are in place for the timely renewal or replacement of all existing contracts.
Be fully aware of all contractual requirements within your areas of responsibility and use the deep understanding of those commitments, alongside area knowledge, to optimise the contract for both sides.
Essential Requirements
Experience or knowledge of apprenticeship contract compliance.
Strong organisational skills with attention to detail.
Ability to maintain accurate records and documentation.
Excellent communication skills, both written and spoken.
Ability to handle conflict and/sensitive situations relating to contracts.
Ability to build strong working relationships with both internal and external stakeholders.
Good IT skills, including use of Word and Teams.
Ability to manage multiple tasks and priorities.
Desirable Requirements
Experience working in an apprenticeship or education compliance role.
Knowledge of apprenticeship funding and regulatory frameworks.
Familiarity with higher education apprenticeship delivery.
