The Role

The Working Capital Assistant plays a key role in maintaining the flow of billing across designated partner groups, ensuring billing targets are met and that WIP is reviewed effectively. The role is responsible for producing bills from draft to finalisation, resolving billing‑related queries, and supporting partners with all billing and revenue matters. It involves close collaboration with the Working Capital Manager/Team Leader to contribute to efficient billing processes and accurate revenue reporting.

The Team

The Working Capital Team ensures that client invoices are generated and collected correctly, efficiently, and in a timely manner. It provides full billing and revenue support to partners, helping them to meet their Working Capital objectives and deliver high‑quality financial performance across the firm.

Main Responsibilities

  • Conduct monthly WIP review meetings with partners to support billing goals and forecasting.
  • Hold regular catch‑ups with the Line Manager to review progress and highlight issues.
  • Assess estimates against targets and drive performance to meet billing expectations.
  • Create and maintain accurate financial reporting for designated teams.
  • Raise billing guides, process write‑offs, and close files based on partner instructions.
  • Monitor draft bills and proformas, chase authorisation, and track progress through 3E.
  • Build strong working relationships with partners and understand their billing requirements.
  • Maintain accurate audit trails of write‑off requests.
  • Perform general matter maintenance including time/cost transfers and write‑offs.
  • Support partners with matter management queries.
  • Encourage earlier-in-month billing to support overall revenue performance.
  • Ensure monthly billing promises from partners are achieved.
  • Act as a key point of contact in delivering new billing workflows and bill dispatch processes, including training for casehandlers and LSAs.
  • Ensure matters are bill‑ready following Matter Data Verification.
  • Produce draft bills and finalise approved bills in 3E.
  • Resolve matter‑related queries including reconciliations, WIP/cost enquiries and other billing issues.

  • Essential Skills & Experience

    Technical Knowledge & Experience

    • Previous experience working within a finance or billing function (legal sector preferred)
    • Strong numeracy skills and high attention to detail
    • Intermediate Microsoft Excel skills
    • Experience using Elite 3E billing or case management systems
    • Ability to maintain accurate audit trails and financial reporting
    • Experience of WIP management and billing processes

    • Confident communicator with partners, casehandlers and internal stakeholders
    • Persistent and persuasive in encouraging billing commitments
    • Strong organisational skills and ability to manage a cyclical monthly workload
    • Able to work effectively under pressure, particularly at month‑end and quarter‑end peaks

    • Ability to build strong working relationships and support partner needs professionally
