What you’ll do:

We’re looking for a proactive, switched-on and highly organised Office Manager to keep our London office running smoothly and our HR administration in good order.

You're someone who is present, engaged and always one step ahead, someone who notices things before they become problems, takes ownership without being asked and takes genuine pride in making the workplace work well for everyone in it.

You will be the go to person for the London office: the person who knows what’s happening, who makes visitors and colleagues feel welcome. Alongside this, you will own the day to day HR administration keeping everything accurate, up to date and running like clockwork.

Key Responsibilities:

Office Management

• Take ownership of the day to day running of the London office, ensuring the environment is clean, welcoming, safe and a great place to work. Liaise with the serviced office provider promptly when things need attention and follow up until they are resolved.

Health, Safety & Compliance

• Keep the London office environment safe, comfortable and compliant, conducting regular checks and flagging any issues to the Head of HR immediately.
• Act as designated first aider and fire marshal.
• Manage DSE assessments across the business, ensuring all employees have been assessed and any follow up actions are completed.
• Maintain accurate health and safety records and ensure all required training is completed on time.

HR Administration

• Manage the end to end starter process, drafting offer letters and contracts from templates, coordinating pre-employment checks, preparing IT and access and delivering a smooth onboarding experience that ensures new starters have everything they need from day one.
• Manage the end to end leaver process, ensuring all offboarding steps are completed accurately and on time.
• Maintain accurate and up to date employee records in the HR system.
• Manage probation tracking and send timely reminders to managers.
• Manage mandatory training administration, monitoring completion rates, tracking through to completion and escalating non-completion where necessary.
• Administer employee benefits, keeping records current and handling queries.
• Support the Head of HR with any ad hoc HR administration as required.

Reporting & Committee Packs

• Coordinate and produce monthly HR reporting for governance committees, compiling people data clearly, accurately and on time.

Technology & AI

• Actively look for ways to use technology and AI tools to work more efficiently; improving how information is managed and bringing ideas for how the HR and office function can be made smarter and faster.

Engagement, ED&I & Internal Communications

• Be an active member of the ED&I group, contributing ideas and helping to drive initiatives forward.
• Coordinate the monthly internal newsletter, managing content, collation and distribution.
• Support internal communications and employee engagement activity.
• Support employee wellness initiatives and contribute to building a great place to work.

What you need

Essential

• Proactive and self-starting: spots what needs doing and does it, without waiting to be asked.
• Highly organised with excellent attention to detail: nothing slips, records are always accurate and tasks are always completed on time.
• A natural people person: approachable and able to build relationships quickly at all levels.
• Confident managing facilities and building relationships with external providers: not afraid to chase, escalate or push back when needed.
• Experience in an office management, facilities or HR administration role.
• Confident using technology and AI tools to work more efficiently: curious, open and always looking for a smarter way to do things.
• Solid working knowledge of Microsoft Office and Claude or equivalent AI tools.
• Calm, pragmatic and solutions-focused, comfortable dealing with the unexpected.
• Discreet and professional when handling sensitive information.

Desirable

• Experience in a financial services or regulated environment.
