Role Description
We are seeking a highly organized, proactive, and reliable Administrative Assistant to support the operations team and senior management team in the day-to-day running of our firm. This is a key role that requires exceptional attention to detail, discretion when handling sensitive information, and the ability to take initiative in a fast-paced, professional environment.
This role is offered on a full-time basis (40 hours P/W) on-site in our City of London office.
Key Responsibilities
Provide direct administrative and operational support to the operations team and managerial team.
Manage and process invoices, expenses, and general office payments.
Oversee day-to-day office operations, ensuring smooth logistical coordination.
Schedule and coordinate meetings, both internal and external, including handling confidential matters with professionalism.
Anticipate the needs of the operations and management teams, acting as their right-hand person in ensuring smooth execution of all firm initiatives.
Assist with onboarding and supporting new team members.
Contribute to ongoing process improvements across office and administrative systems.
Qualifications and Experience
Prior executive assistant or administrative experience is essential.
Experience working in a law firm or professional services environment is highly desirable.
Excellent written and verbal communication skills.
Strong organizational and multitasking abilities.
Demonstrated ability to handle confidential and sensitive information with discretion.
Comfortable managing competing priorities and working independently.
Proficiency with common office software (Microsoft Office, Google Workspace, etc.).
Fluency in Russian is desirable.
