About the role
The Service Technical Planner is responsible for validating, scheduling, and controlling the delivery of contracted calibration and service works to ensure efficient execution, optimal resource utilisation, and timely certification.
The role ensures all jobs are correctly verified before scheduling, appropriately resourced, efficiently routed, and reviewed within 24–48 hours of completion, while protecting capacity for reactive works and maintaining SLA compliance.
As an integral member of the Service Administration team, the Technical Planner shares full responsibility for customer communication and general service administration duties.
Key Accountabilities:
Job Validation and Pre-Planning- Validate contracted calibration and service jobs prior to scheduling.
- Confirm scope, contract alignment, and technical requirements.
- Verify customer details, site access information, and equipment data.
- Determine required engineering competency and test unit resource.
- Identify and escalate risks or capacity concerns early.
- Provisionally route works to maximise efficiency and minimise travel time.
- Protect diary capacity to accommodate reactive breakdowns.
- Book customer appointments one week in advance.
- Balance engineer workload to maintain strong utilisation.
- Coordinate test unit deployment effectively.
- Escalate forward capacity risks with mitigation proposals.
- Issue complete job packs including RAMS, stock, and access details.
- Ensure engineers are fully briefed and equipped.
- Communicate schedule updates promptly.
- Support achievement of first-time fix performance.
- Respond promptly to urgent breakdowns in line with SLA requirements.
- Review completed jobs within 24–48 hours.
- Verify documentation accuracy and resolve queries.
- Issue certification promptly and close jobs within the system.
- Monitor utilisation, scheduling efficiency, and first-time fix rates.
- Track reactive versus planned workload balance.
- Provide performance data to the Service Manager.
- Support continuous improvement initiatives.
- Share equal responsibility for customer calls, emails, and service tickets.
- Maintain prompt and professional communication.
- Support colleagues during peak demand or absence.
- Demonstrate consistent and balanced contribution to team workload.
